We are seeking a highly organised and proactive Office Manager to oversee and enhance our administrative operations. The ideal candidate will possess strong administrative skills, excellent phone etiquette, and the ability to communicate effectively with team members and clients. This role is crucial in supporting our professional staff, ensuring operational efficiency and developing new processes in line with our digital transformation.

JPS Chartered Surveyors is a reputable firm regulated by RICS, specialising in the valuation and disposal of machinery and business assets for Insolvency Practitioners, Lenders and Private Companies. We pride ourselves on our professional integrity and commitment to excellence.
Duties:
- Oversee daily office operations and assist in implementing new digital procedures to enhance productivity and efficiency.
- Maintain accurate financial accounts, including invoice recording, payment tracking and client account reconciliations.
- Handle incoming calls and correspondence with professionalism and courtesy.
- Provide comprehensive administrative support, including preparing professional reports, typing inventories, handling correspondence and managing cases through our CRM system.
- Oversee HR administration, including recruitment, onboarding, employee management and relations.
- Manage Health & Safety records, ensuring compliance and scheduling recurring tasks.
- Organise meetings, prepare agendas and take minutes as necessary.
- Liaise with suppliers for purchases, renewals, event/travel bookings and building improvements.
- Foster a positive team environment through effective communication and team management.
Qualifications:
- Proven experience in an office management or administrative role is essential.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills are a must.
- Proficiency in Sage Line50 or similar accounting software is advantageous.
- Experience in supervising staff and managing teams is preferred.
- Proficiency in Microsoft Office Suite.
- Ability to work independently as well as collaboratively within a team environment.
